Note: These instructions work for both the website and iOS versions of the platform.
As the Team Owner - you are able to manage and edit your team members, track member locations (if approved by each individual), as well as view updates anytime a team member edits, checks-in, or adds a pin. In addition, as team owner you will also see all pins added by members of your team.
To access team settings, log into Map My Customers and click the Team option in the left hand menu (red box below).
See below for your quick-start guide to using this feature.
Understanding the Team Members tab
The Team members tab shows you everyone on your team and the status of whether they have accepted the invitation email. In most cases - Map My Customers has already sent invites to all your team members and linked your accounts.
Once an invited team member has accepted, their status should update to ‘verified’. Your team has now expanded, and you can share your pins with this team member. This team member also receives a full, unlimited license including all colors, unlimited pins & groups, routing, and more.
Not Verified = Team member has not responded to email invitation.
Adding a New Team Member
To add a new team member - simply click on the blue ‘Add team member’ button. By clicking this you are presented with a pop-up box that will let you invite team members. You can choose to allow a new member to be a manager — this will allow the user to set access rights for others on the team (for more on access rights, read below).
Note: Team members you want to invite do not have to have a Map My Customers account first, but they do need to sign up with the email address you invited them with.
Assigning User Access Rights
Head to the Share Pins tab (#1 below) and click on Access Rights (#2 below) next to the name of a team member.
You can enable (or disable) a team member’s rights to share, edit, export, and delete pins you’ve shared with them by clicking on the green ‘access rights’ button next to sharing. This prompts the User Access Rights pop up to appear. Boxes that are checked mean the privilege is enabled.
With Map My Customers, you have the ability to customize access rights for each of your team members.
To share pins you have created with a team member, click the ‘Share Pins’ button (#1 below) and click 'Share Pins' (#2 below).
The pop up window lets you decide exactly which pin groups you want your team members to be able to see. Simply click 'Yes'/'No' to change access.
For example: If I wanted this user to have access to the group called 'product new' - I would click the red 'No' and it would become a green 'Yes'.
Please note: if you plan to share a route with a team member you MUST share any pins included in the route with them as well.
Team members can change any of the groups that a pin is in, but the pin must be in at least one group that the pin was originally shared on.
For example, if a team owner (Julie) shared only one group of pins called 'New Product Rollout' with her teammate (Joe) - Joe can create his own groups and include the pins. However, he can't delete the 'New Product Rollout' group Julie shared with him. If Joe tries to remove pins from that shared group - Map My Customers overrides this and displays a warning message.
To share routes, click on the 'Share Routes' button (red box below).
Similar to sharing pins - a popup window containing all of your saved routes appears. To change access - simply click 'Yes' or 'No'.
For example: If I wanted this user to have access to the route called 'Friday June 23 - I would click the red 'No' and it would become a green 'Yes'.
In order to share routes - you must also share all the pins that are in the route.
This feature enables you to track field locations for your team members via their check-ins. Click 'User Tracks' (#1 below) and click 'Show Tracks' on the team member you would like to see (#2 below).
on check-ins, may want to state that a report is available.
If you plan to utilize User Tracks - you may want your team to use the automatic check-ins feature for easier tracking.
The team member's location information is displayed in the map on the right (#3). Click on a map marker to see how long ago the check-in took place.
Please note: each individual team member must agree to be tracked in this manner (from the settings of their mobile device) for the feature to work.
Map My Customers lets you send in-app messages to your field team members. Messages arrive on their iOS device. You can send individual team members a message by clicking the "Message" button next to their name (#1 below). To send your entire team a message - head to the bottom on right section (#2 below).
